Medical Assistant

Role and Responsibilities:

DUTIES: Medical assistants are cross-trained to perform administrative and clinical duties. Medical assistants

are instrumental in helping patients feel at ease in the physician’s office and often explain the physician's

instructions. Report directly to Chief Executive Officer and Chief Medical Officer

 

Administrative Duties

  • Using all computer applications such as excel, word, power-point, publisher, etc.

  • Answering telephones, sending faxes, sending and answering emails, etc.

  • Managing Health4life APP patient requests, messages

  • Greeting patients in person and on the phone in a respectful and courteous manner

  • Updating and filing patient medical records in paper and electronic versions; learning the EMR program at Health4life and ensuring all electronic and paper files are always complete

  • Coding and filling out insurance forms for patients; sending forms to patients so they can request reimbursement

  • Managing all billing and clinical notes of auto/personal injury cases

  • Scheduling patient appointments, sending out reminders and following up new patient appointments with Thank You cards.

  • Completing all diagnostic and specialist’s referrals, obtaining insurance prior authorizations, arranging for hospital admissions and laboratory services, and coordinating all services/appointments for patients

  • Handling correspondence, billing, and bookkeeping specific to Heath4life

  • Assist patients with all check-in paperwork, understanding of how APP works, and any and all questions patients may have

Clinical Duties

  • Taking patient medical histories and adding information to paper and electronic medical charts

  • Explaining treatment procedures & plans to patients

  • Preparing patients for examination

  • Assisting the physician during exams

  • Collecting and preparing laboratory specimens, properly packaging specimens for mailing and ensuring all parties are aware

  • Instructing patients about medication, special diets/meal plan, compounding pharmacy medications being mailed to their homes and financial obligations

  • Ensuring all medical consents are obtained prior to examination & ensuring all requirement documents are explained, signed and then filed post examination

  • Preparing and administering medications as directed by a physician

  • Authorizing prescription refills as directed by Health4life physicians via faxing/electronic prescriptions

  • Conducting electrocardiograms and organizing documentation within patient’s chart

  • Perform nursing procedures under supervision of physician, nurse practitioner or physician assistant

  • Assist physician, nurse practitioner and physician assistant in exam rooms

  • Escort patients to exam rooms, interviews patients, measure vital signs, including height/weight, blood pressure, pulse, temperature, and document all information in patient’s paper and electronic chart

  • Give instructions to patients as instructed by physician or physician assistant

  • Ensure all related reports, labs and information is filed and available in patients’ medical records prior to their appointment

  • Keep exam rooms stocked with adequate medical supplies, maintain instruments, prepare sterilization as required

  • Manage medical supply and supplement inventory on a weekly basis; report to CEO with inventory ordering requirements

  • Take telephone messages and provide feedback and answers to patient/physician/pharmacy calls

  • Triage and process messages from patients and front office staff to physicians and physician assistants

  • Maintain all logs and required checks (i.e. refrigerator temperatures, emergency medications, expired medications, etc.)

  • Drawing blood from patients

  • Removing sutures and changing dressings

  • All other duties as assigned by CEO or CMO

Qualifications and Education Requirements

  • High school diploma; some college preferred

  • Medical assistant certification (or equivalent)

Preferred Skills

  • Exceptional customer service and phone etiquette

  • Ability to maintain effective and organized systems to ensure timely patient flow

  • The ability to perform phlebotomy and administer injections

  • Healthcare field and medical specialty

  • Medical terminology

  • Grammar, spelling, and punctuation

  • Knowledge of EHRs
